Notifications

SOPHIE keeps you informed about everything happening in your workspace -- new tasks, approvals waiting on you, comments on SOPs you own, @mentions. The Notifications page lets you decide which events you want to hear about and where each one is delivered. Settings live at Settings > Notifications.

Your choices are personal. Every team member has their own preferences -- the workspace owner cannot change them on your behalf.

Channels

SOPHIE can deliver every notification through up to three channels:

In-AppThe Inbox badge and notification stream you see inside SOPHIE. Best for things you'll handle next time you log in.
EmailDelivered to the email address on your SOPHIE account. Best for things you need to know about even when you're not in SOPHIE.
SlackPosted to the Slack channels your workspace has connected. Best for events the whole team should see. Slack must be connected by an admin first -- see Integrations for setup.

Each event lets you turn each channel on or off independently. You might want approval requests via Email + Slack but keep comment notifications in the in-app Inbox only.

Event categories

Events are grouped into categories that match what SOPHIE actually does. Tick the box next to a category header to enable or disable everything in that group at once -- handy for "I want all task notifications" or "no SOP notifications, ever".

SOP Events

EventWhen it fires
SOP Status ChangedA SOP you authored moved through the workflow -- submitted, approved, rejected, or republished.
SOP UpdatedA SOP you are assigned to perform was modified. Tells you the procedure changed and a re-acknowledgement may be required.

If you hold an oversight role in this workspace (Practice Manager, Practice Owner, etc.), you'll also see:

SOP CreatedA new SOP was added to the workspace. Useful for tracking overall SOP coverage.
SOP DeletedA SOP was removed. Useful for audit and compliance review.
Workflow FailedA SOP's automated workflow step failed (rare). Operational alert -- usually warrants follow-up with the SOP author.

Task Events

EventWhen it fires
Task CreatedA task has been assigned to you.
Task Status ChangedA task you assigned or completed has moved to a new state -- in progress, completed, missed, etc.

Comments

EventWhen it fires
Comment AddedSomeone commented on a SOP you own or follow.
Mention OverdueYou were @mentioned in a comment and haven't responded after a reasonable window. SOPHIE escalates this so important conversations don't get lost.

User Events

This category only appears for users with an oversight role.

User InvitedA new team member has been invited to the workspace. Useful for membership audit.

Why some events do not appear on my page

Several admin-only events (workspace audit signals, billing alerts, new-member invitations) are only relevant to people who manage the workspace. If you don't hold a management role, those events are hidden from your Notifications page entirely -- there's nothing to toggle because they would never apply to you. If your role changes, the relevant events automatically appear the next time you load the page.

You will never miss something genuinely directed at you. Personal events -- @mentions, task assignments, approvals on SOPs you authored -- always appear, regardless of role.

Quick recipes

A few common patterns we see practices use:

  • The minimalist -- In-App only for everything. Open SOPHIE once a day, see what happened, get on with the day. No email noise.
  • The owner -- Email + In-App for SOP and User Events; In-App + Slack for Comments and Mentions. Owners get the audit trail in email and live conversations in Slack.
  • The clinician -- Task Created + Mention Overdue via Email + In-App. Everything else In-App only. Doesn't want emails about SOPs they don't author.

When notifications stop arriving

If you stop receiving a notification you expected:

  1. Make sure the relevant channel is turned on for that event under Settings > Notifications.
  2. Email -- Check your spam folder and confirm the email address on your account is current under Settings > Preferences.
  3. Slack -- Confirm Slack is still connected (Settings > Integrations > Slack); a workspace admin may need to reconnect.
  4. In-App -- Refresh the page. The Inbox stream is live so notifications normally appear within seconds, but a temporary disconnect can briefly delay them.

If notifications still don't arrive after checking these, contact support so we can investigate.
