Practice OS
Practice OS is SOPHIE's strategic planning module. It brings together five connected tools that help you define where your practice is going, track whether you are on course, and take action to get there. Think of it as the operating system that runs behind your day-to-day clinical work.
The five modules
| Module | What it does |
|---|---|
| Practice Profile | Captures key information about your practice -- locations, team size, specialties, goals. Other modules and AI features use this to give you tailored recommendations. |
| Vision | Defines your 3-5 year vision for the practice. Where do you want to be? What does success look like? The vision gives your team a shared destination. |
| Scorecard | Tracks weekly key performance indicators (KPIs) like production, collections, new patients, and case acceptance. Numbers do not lie -- the scorecard shows whether you are trending in the right direction. |
| Quarterly Plays | Strategic initiatives for the current quarter. These are the specific projects and improvements you commit to executing over the next 90 days. |
| Power Hour | A structured weekly team meeting format. Review your scorecard, check in on quarterly plays, address issues, and agree on commitments -- all in 60 minutes. |
How the modules connect
Practice OS is designed so each module feeds into the others:
- Your Vision sets the direction. It answers the question: what are we building toward?
- Your Scorecard tracks the metrics that tell you whether you are moving in that direction. If your vision includes growing to a certain revenue target, the scorecard tracks production and collections weekly.
- Your Quarterly Plays are the specific initiatives you execute each quarter to move the scorecard numbers. If collections are lagging, a quarterly play might be "implement same-day payment collection process."
- Power Hour is where your leadership team reviews all of this together each week -- scorecard trends, play progress, and action items -- so everyone stays aligned.
- Your Practice Profile provides the context that makes everything else relevant. AI features like Gap Analysis use it to give you recommendations that actually fit your practice.
Why Practice OS matters
Most dental practices have goals, but few have a system for turning those goals into weekly action. Practice OS provides that system. Instead of setting a revenue target in January and checking it in December, you track progress weekly, adjust quarterly, and discuss it as a team every week during Power Hour.
The practices that get the most out of SOPHIE are the ones that use Practice OS alongside their SOPs. SOPs define how things should be done. Practice OS makes sure the right things are being done in the first place.
Getting started
Access Practice OS from the Practice OS section in the sidebar. If this is your first time, SOPHIE walks you through a setup checklist:
- Complete your Practice Profile -- Tell SOPHIE about your practice so recommendations are relevant.
- Define your Vision -- Write your 3-5 year vision statement. SOPHIE provides a dental-specific template to get you started.
- Set up your Scorecard -- Choose the KPIs you want to track and set weekly targets.
- Create your first Quarterly Play -- Pick a strategic initiative for this quarter.
The Practice OS dashboard shows your setup progress so you can see what has been configured and what still needs attention.
Practice Profile
The Practice Profile lives under Practice OS > Profile or Settings > Practice Profile. It captures:
- Practice name and locations
- Team size and composition
- Specialties offered
- Revenue and operational metrics
- Practice goals and focus areas
Keep your profile up to date. It is used by Gap Analysis, AI recommendations, and other Practice OS modules to provide advice that fits your specific situation.
