Signing In
SOPHIE is invitation-only. Someone at your practice (or the SOPHIE team, when your practice is first set up) invites you by email, and you accept that invitation to join. After that, you sign in with the same Google account or email address every time.
One SOPHIE account can belong to more than one practice. Each practice is its own workspace, and you can switch between them without signing out.
- Go to app.hisophie.ai. The sign-in page says Welcome back.
- Choose how to sign in:
- Continue with Google if your SOPHIE account uses a Google or Google Workspace address.
- Continue with email to sign in with your email address and password.
- SOPHIE takes you to your workspace's home page. If you belong to more than one workspace and SOPHIE can't tell which one you want, she asks you to pick one.
Your account is tied to your email address. If you joined with Continue with Google, keep signing in that way. Choosing Continue with email with the same address asks for a password you never set.
If you forget your password, use the password reset link on the email sign-in screen.
Accept an invitation
When someone invites you, you get an email with a link to join. The link is good for 30 days. If it has expired, ask the person who invited you to send a new one.
- Click the link in the email. A Create Your Account page shows the name of the practice: "To join practice name, choose how you'd like to sign in."
- Choose Continue with Google (fastest if your invitation went to a Google address) or Sign up with Email to create a password.
- Sign in with the address the invitation was sent to. The page reminds you which address that is.
- On You're Invited!, check the practice name, the role you've been given and who invited you, then click Accept Invitation.
- On Complete Your Profile, enter your First Name and Last Name (and a Phone Number if you like), then click Join followed by the practice name.
You land in the practice, ready to go. You can fill in the rest of your profile later from your Profile settings (see Your profile and preferences).
Already have a SOPHIE account?
Accept the new invitation the same way and sign in with your existing account. The new practice is added to your account, and you'll see it in the workspace menu.
"Unable to Accept Invitation"
This means you're signed in as a different email address than the one the invitation was sent to. The message names both addresses. Click Sign in as followed by the invited address to sign out and sign back in with the right account. If you'd rather use the address you're signed in with, ask the person who invited you to send a new invitation to that address.
If the page says Invalid Invitation, the link has expired or was replaced by a newer one. Ask for a new invitation.
Switch workspaces
If you belong to more than one practice:
- Click the practice name at the top of the sidebar.
- Under Switch workspace, choose the practice you want.
SOPHIE keeps you on the same page in the other practice. For example, if you were on My Day, you land on that practice's My Day. Your roles, permissions, tasks and Standards are separate in each workspace.
A practice marked Restricted in the list only lets people in from approved networks. See "Blocked by an IP restriction" under Good to know.
Practice owners also see Add workspace in that menu. See Add another workspace.
Sign out
Click your picture or initials in the top-right corner and choose Sign out.
Change the email you sign in with
- Click your picture or initials in the top-right corner and choose Profile.
- Under Personal Information, next to your email address, click Change.
- Follow the steps for your account:
- Email and password: enter your New Email. SOPHIE asks you to sign in again with the new address to finish.
- Google: enter the new address, which must be a Google account you can sign in to. SOPHIE signs you out, you sign in with the new Google account, and SOPHIE updates your email and brings you back.
- More than one sign-in method: every method must use the same email. You can update the email for all of them at once, or remove a sign-in method first and then change the email on the one that's left.
If your practice has set Allowed Email Domains, your new address has to use one of those domains. See Security settings.
Good to know
- Your session. SOPHIE keeps you signed in while you work. If your session expires, the sign-in page says "Your session has expired. Please sign in again to continue."
- A canceled or paused workspace. When a practice's subscription ends, its workspace closes. Opening it shows This workspace is closed with the date it was canceled; to reactivate it, email support@hisophie.ai. A workspace paused because a payment couldn't be processed shows Access paused with Add payment method, and opens again once it's paid. Either way, your other workspaces are listed on the same page so you can switch, and closed ones stay in Switch workspace marked Canceled or Paused. When you sign in, SOPHIE opens your first workspace that's still open.
- Blocked by an IP restriction. Some practices only allow SOPHIE from their office network. From anywhere else you'll see a Restricted Location page with your IP address. Click Request Access to send a request to your workspace's administrators, or connect to the office network or VPN and click Changed networks? Try again. If you belong to another practice, you can switch to it from the same page.
- New practices. You can't create a new practice from the sign-in page. New practices are set up with the SOPHIE team. Existing owners can add a workspace from inside the app.
