Finding Your Way Around
Every page in SOPHIE shares the same frame: a header bar across the top, a sidebar down the left, and the page you're working on in the middle. This page explains what each part does so you always know where to go next.
The header bar
The bar across the top is the same everywhere in the app.
- The SOPHIE logo (left) takes you to your home page.
- SEARCH (center) finds Standards, comments and people. See Search.
- CREATE (right) starts something new. See The CREATE menu.
- Your picture or initials (far right) opens your profile menu. See Your profile menu.
The home page
SOPHIE opens on your home page after you sign in. It greets you by name with today's date, and shows a summary built for your role:
- Team members see their own numbers: My score, Days active, Tasks (with how many are overdue) and On-time rate, then today's My Day, their own scorecard and how the team is doing.
- Owners and managers see the team at a glance: Team health, Active today, On track (people scoring 85 or more) and Needs support (people below 70, worth a one-to-one). Below that is today's My Day, a breakdown by department, the Team scorecard, and this week's goals from the Scoreboard.
- Department leads see the same view scoped to their own department, labeled Department health and Department scorecard.
Click any tile to go to the page behind it. The scores come from Team performance. Until SOPHIE has a few days of activity for you, your scorecard says so instead of showing a number.
To get back to the home page from anywhere, click the SOPHIE logo.
The sidebar
The sidebar has three parts.
At the top: your practice. The practice (workspace) name. Click it to switch to another practice you belong to, or (for owners) to add a workspace. See Switch workspaces.
Your own work. These three are the same whichever location you're looking at:
- My Day: what's yours to do today.
- Inbox: mentions, tasks, updates and support replies. The number beside it is how many items are unread.
- Standards: your practice's procedures.
Practice OS, for one space. Under the Practice OS label is the space switcher, and beneath it the pages that belong to that location:
At the bottom: Settings. See the Settings overview.
To make more room for your work, click the collapse button next to the practice name. The sidebar shrinks to icons; hover over an icon to see its name, and click the button again to expand it. On a phone or small tablet, the sidebar is hidden behind the menu button at the top left.
Spaces and the space switcher
A space is one location of your practice, usually an office. A single-office practice has one space. A group with several offices has one for each.
Practice OS pages show one space at a time, because each office has its own team, numbers, meetings and problems. The box under Practice OS shows the space you're looking at, with its address.
To look at another location:
- Click the space box under Practice OS. (With the sidebar collapsed, click the space's two-letter tile.)
- Choose a space from the list.
"Switch space. You'll stay on the same page." If you were on the Scoreboard, you'll see the other location's Scoreboard.
Spaces that have been set to inactive aren't listed. The colored tile beside each space is the same everywhere, so you can tell at a glance which location a page is showing.
To learn how spaces are added and who belongs to them, see Spaces.
Search
Click SEARCH in the header bar, or press ⌘F (Mac) or Ctrl+F (Windows).
- Start typing. Results appear as you type, matched against:
- SOPs: by title, tag or department. Each result shows its status, department and tags.
- Comments: text in comments on Standards.
- Team: people, by name, email or role.
- Use the chips at the top (All, SOPs, Comments, Team) to narrow the results. Each chip shows how many matches it has.
- Use the arrow keys to move through the results, Enter to open one, and Esc to close search.
Opening a Standard takes you to it; opening a comment opens its Standard with the comment highlighted; opening a person takes you to the Team page.
When a Standard is open on screen, ⌘F / Ctrl+F searches inside that Standard instead of opening the global search.
The CREATE menu
Click CREATE in the header bar to start something new:
| Option | What it's for | Shortcut |
|---|---|---|
| Ask SOPHIE | Describe an issue, idea or piece of information in your own words, and SOPHIE works out what to do with it. See Ask SOPHIE. | ⌘I / Ctrl+I |
| Task | A one-off action to assign to someone. See To-dos. | ⌘T / Ctrl+T |
| Fix List | Raise a problem, information or an idea on the FIX List. See FIX List. | |
| Support request | Report a bug or ask the SOPHIE team for help. See Support requests. |
You only see Fix List if you're allowed to create Standards. ⌘J / Ctrl+J opens Create with SOPHIE to draft a new Standard (also only if you can create Standards).
Your profile menu
Click your picture or initials in the top-right corner. The menu shows your name, email and roles in this practice, and has:
- Profile: your personal settings, such as your name, how Standards open, and your notifications. See Your profile and preferences.
- What's New: opens the release notes in a new tab. A dot on your picture means there's a release you haven't seen. See What's New.
- Theme: choose Light, Dark or System.
- Sign out.
Good to know
- What you see depends on your access. Some pages, buttons and settings only appear for people allowed to use them. If a colleague describes something you can't find, it may be behind a permission. Ask your practice owner or manager.
- Links keep their place. Every page has its own address, so you can bookmark it or send a link to a colleague. Links include the practice, so they open in the right workspace.
