My Day
My Day answers one question: what do I need to do today? Every morning SOPHIE builds your list from the Standards your roles are responsible for, then adds your to-dos, anything waiting on you (an approval, an acknowledgement, a review) and reminders from the rest of SOPHIE, such as entering this week's Scoreboard numbers.
You don't create the recurring part of the list yourself. As long as a Standard names one of your roles and is scheduled for today, the task appears. (See When tasks appear on My Day for the exact rules.)
Open it from My Day at the top of the sidebar. A compact version also sits on your Home page; click Open on that card to get the full page.
Read the page
The header shows today's date, a greeting, and how much is left, for example "4 of 11 tasks left · across 2 spaces today." On the right, a ring shows the share of your tasks done so far.
Below the header is a row of controls:
- Space tabs: All spaces, then one tab per space you work in, each with a count. Pick a space to see only its work.
- The day picker: arrows and a date button (it reads Today). Use it to look back at a past day or ahead at a future one. See Looking ahead and back.
- Whose work: All work, Just me or Teammates'. "Teammates'" shows shared tasks a colleague currently holds.
- Together or By space: how the list is laid out.
Together view
Your list is split into two sections:
- Action items: one-off work for today, outside the routine. To-dos, approvals, acknowledgements and reminders land here.
- Recurring routine: Standards on a repeating schedule, grouped into Beginning of day, During the day and End of day. The group you're in right now is marked Now (morning until noon, then the day until 5:00 PM, then end of day).
Within each section, unfinished work comes first. Work is then ordered by the part of the practice it belongs to (Patient, then Office, then Admin), and then by priority, so a Critical or High item rises above routine work in the same flow.
By space view
Each space gets its own panel with a done count, the same Action items and routine groups inside it, and an All done badge when everything there is finished.
What each row shows
- A space tag for each space the task belongs to.
- A type chip: SOP (a recurring Standard), Workflow (something to approve, publish, acknowledge or review), To-do, Scoreboard, Sprint or Task.
- The flow (Patient, Office or Admin) when the task comes from a Standard.
- A link to the Standard the task comes from (the chip labeled SOP).
- Priority, shown only when it is High or Critical.
- In progress, when someone has started it.
- Moved earlier or Moved later, when the task isn't on the day it was scheduled for. Hover the chip to see why (see Tasks that move).
- Who has it: Just you, Shared (one of a group's shared tasks, now yours), or a teammate's name and picture.
Click a task's title to open what it's about: the Standard for routine and workflow tasks, the to-do's own page for a to-do, the Scoreboard week for a number-entry reminder, the Fix List item for a Fix review, or the sprints page for a sprint.
Complete a task
Click the circle at the left of a task. It turns green, the row fades and drops below your open work, and your count updates. Click it again to mark it not done.
Some tasks finish themselves when you do the real thing instead of ticking a box:
- Approve, Publish and Acknowledge tasks show a workflow icon in the circle. Clicking it (or the title) opens the Standard so you can do the action there; the task completes when you approve, publish or acknowledge. An acknowledgement task opens straight to the Standard's acknowledgements.
- Review tasks complete when you accept or reject the proposed change in the Standard.
A Sprint row has no circle. It appears for each open sprint this quarter whose owner role you hold, shows its progress (for example "Q4 · 3/7 tasks · On track"), and finishes when the sprint's own tasks do.
Tie a task to a space
In a practice with more than one space, every task needs at least one space before it can be completed. A task without one has a dashed outline and an Add a space chip, and a banner at the top of today's list counts how many need one: "You can't complete these until they're tied to a location. Pick a space on each."
- Click Add a space (or click a task's space tags to change them).
- Tick each space that applies. A task can be in several, but it must keep at least one.
- Click Done.
In a practice with a single space, everything belongs to that space automatically and you'll never see this.
Take or hand off work
- Take it: on a teammate's shared task, click Take it to move it onto your list. This is handy when a colleague is swamped.
- Reassign: the person icon at the right of a task opens Reassign to, a list of everyone in the workspace. Pick someone to hand the task to them.
Pick up new tasks
SOPHIE builds the day's tasks early each morning. If a Standard is scheduled, claimed or reassigned to you after that, it won't be on your list until the next morning, unless you ask. Click Pick up new tasks in the header to check now. SOPHIE tells you how many it found, or "Nothing new — your day is already up to date." The button appears only on today, on your own day.
Look at a teammate's day
Owners, people in a management role, and anyone with direct reports see a Viewing: My Day control in the header. Pick a person under Whose day to see their list. While you're viewing someone else, the header shows Viewing name with a read-only tag: you can see their work but not complete, take or reassign it. Click the × to go back to your own day.
Owners and management roles can view anyone in the workspace; everyone else can view their direct reports.
The side panels
On a wide screen, three panels sit to the right of the list:
- Across your spaces: your done/total for each space, with a progress bar. Click a space to filter the list to it; click again to clear. Shown only when you work in more than one space.
- Your day: your completion ring and how many spaces you're working across today.
- As Needed: the Standards your roles reach that have no schedule, the ones you "pull up when a situation comes up," with no task to check off. Click one to open it. The list counts the Standards for the roles you hold yourself, plus anything assigned to All Staff. It doesn't include roles below yours in the hierarchy. If there are more than ten, Show all opens the Standards library already filtered to them. When you're viewing a teammate's day, this panel lists their As Needed Standards.
Good to know
- A deadline that can't move shows on Home. When you have a regulatory or hard-deadline Standard due in the next seven days, the My Day card on Home shows a red line like "1 deadline in the next 7 days that cannot move." Click See the first to jump to that day.
- Open to-dos stay on today until they're done. A to-do due last week stays on today's list until you finish it. A completed to-do shows on the day you finished it.
- Unfinished routine work may carry over. Whether yesterday's unfinished task stays on your list, disappears at the end of the day, or expires after a few days is set on each Standard's schedule. See Carry-over.
- Don't see a task you expected? Check that the Standard names one of your roles and is scheduled for today, and that Team › Schedule has you working today. Then click Pick up new tasks. The full checklist is in When tasks appear on My Day.
- Your completion feeds the team's numbers. Completed and missed tasks feed team performance reports, so ticking things off as you go keeps them accurate.
