Setup Wizard
When you create a new workspace in SOPHIE, the Setup Wizard walks you through three steps to get your practice up and running. The wizard appears automatically before you start using the app, and you cannot skip it. This ensures your SOPs are personalized from day one.
Step 1: Practice Profile
The first screen asks you to tell SOPHIE about your practice. You will enter:
- Practice Management Software — the system your office uses for scheduling and patient records (for example, Dentrix, Eaglesoft, Open Dental, or Oryx).
- Phone System — your office phone platform (for example, Weave, Mango, or a standard landline).
- Imaging System — the software you use for X-rays and intraoral photos (for example, Dexis, Schick, or your PMS built-in imaging).
- State — the state where your practice is located, so SOPHIE can reference the correct regulations.
This information helps SOPHIE generate SOPs with steps that match the actual software and tools your team uses every day. For example, instead of a generic instruction like "open your practice management system," SOPHIE will write "open Dentrix and navigate to the Appointment Book."
You can update this information later in your workspace settings if anything changes.
Click Next when you are ready to move on.
Step 2: Choose Templates
On the second screen, you will see a collection of pre-built SOP bundles organized by department or topic. Each bundle groups related SOPs together so you can add them in one click.
For each bundle, you can see:
- The bundle name and a short description of what it covers.
- How many SOPs are included in the bundle.
Browse the available bundles and select the ones that are relevant to your practice. You can select as many or as few as you like. If you are not sure which ones to pick, start with the bundles that match your biggest departments (for example, Front Office, Hygiene, or Clinical).
You also have the option to skip template selection entirely and start with an empty workspace. You can always add templates later from the Template Library.
Click Next to begin the import.
Step 3: Import and Customize
Once you confirm your selections, SOPHIE begins importing the templates into your workspace. This step has two phases:
- Importing — SOPHIE copies the selected SOP templates into your workspace.
- Customizing — SOPHIE rewrites each SOP to include your practice-specific details, such as your software names and state-specific references.
You will see a progress bar that tracks both phases. The status message shows how many SOPs have been processed so far (for example, "Customizing with practice-specific steps... 3 of 7").
This process usually takes a minute or two depending on how many templates you selected. You have three options while it runs:
- Wait for it to finish — the screen updates automatically as each SOP is completed.
- Continue in Background — click the button to go straight to your dashboard while the import finishes behind the scenes.
- Rerun — if something goes wrong, you will see an error message with a reference code. Click Rerun to try again, or contact support with the reference code.
After the Wizard
When the import is complete, SOPHIE shows a summary of how many SOPs were added to your workspace. Click Go to Dashboard to get started.
Your new SOPs will appear in the All SOPs view. From there you can:
- Open any SOP to review the content SOPHIE generated.
- Edit steps, reorder sections, or add details specific to your office.
- Assign SOPs to team members and departments.
- Submit SOPs for approval when they are ready.
Adding More Templates Later
The Setup Wizard is just a starting point. You can browse and import additional templates at any time from the Template Library. Look for it in the left sidebar navigation.
This is useful when you want to:
- Add SOPs for a department you skipped during setup.
- Pick up new templates that have been added to the library since you first set up.
- Expand your SOP coverage as your practice grows.
