Quickstart
Get your practice up and running with SOPHIE in minutes.
1. Create your workspace
When you first sign up, SOPHIE walks you through a guided onboarding flow:
- Name your workspace -- typically your practice name (e.g., "Bright Smiles Dental").
- Set your timezone and configure office hours so SOPHIE knows when your team is working.
- Upload your practice logo for a branded experience.
Your workspace is the top-level container for everything in SOPHIE -- SOPs, team members, departments, and settings are all scoped to your workspace.
2. Invite your team
From the onboarding wizard or Settings > People:
- Enter team member email addresses.
- Assign each person a role (e.g., Office Manager, Dental Hygienist, Front Desk).
- Set manager relationships so SOPHIE knows your organizational hierarchy.
- Team members receive an email invitation and can sign in immediately.
3. Set up departments and spaces
Departments group your team by function (e.g., Clinical, Administrative, Front Office, Billing).
Spaces provide data isolation within your workspace -- useful if you have multiple locations or distinct operational areas.
You can configure both from Settings > Departments and Settings > Spaces.
4. Create your first SOP
Navigate to SOPs in the sidebar and click New SOP:
- Title -- Start with an action verb (e.g., "Process New Patient Insurance Verification").
- Content -- Use the rich text editor to write step-by-step instructions. Add images, format text, and embed Loom videos.
- Properties -- Set the frequency (Daily, Weekly, Monthly), flow type (Patient, Admin, Office), assigned roles, and department.
- Save as Draft or Submit for Approval to begin the review workflow.
Click the SOPHIE AI button when creating a new SOP to have AI generate content for you. Just describe the procedure and SOPHIE will draft a complete SOP.
5. Import from the Template Library
Don't want to start from scratch? Go to Library in the sidebar to browse pre-built SOP templates designed for dental practices. Select the templates you need, assign roles, and import them into your workspace in bulk.
6. Explore the dashboard
Your Home dashboard is personalized based on your role. It shows:
- SOPs that need your acknowledgement
- Pending approvals
- Overdue items and compliance risks
- Team workload overview
- Action items requiring attention
You can customize which cards appear on your dashboard by selecting a persona or configuring individual cards.
