Scorecards

SOPHIE provides two types of scorecards that track performance at different levels. Together, they give you a complete picture: one shows whether your business is on track, the other shows whether your people are executing consistently.

Practice Scorecard

The Practice Scorecard is part of Practice OS and tracks practice-wide business metrics. It is a strategic tool for practice owners and leadership.

What it tracks

You define the KPIs that matter to your practice. Common metrics include:

  • Production -- Total treatment value delivered
  • Collections -- Payments received
  • New patients -- New patient volume per week or month
  • Case acceptance -- Percentage of treatment plans accepted by patients
  • Recall rate -- Percentage of patients returning for hygiene appointments

How it works

  • Custom metrics -- Define the exact KPIs you want to track and set weekly targets for each one.
  • Weekly data entry -- Enter your numbers each week. This takes just a few minutes and gives you a running record of practice performance.
  • Trends and quarterly views -- See how your metrics are trending over weeks and quarters. Are collections improving? Is new patient volume holding steady?
  • CSV import -- If you have historical data in spreadsheets, import it via CSV so you start with a baseline from day one.

Team Performance Scorecard

The Team Performance Scorecard is accessed from Team Performance in the sidebar and measures individual and team-level operational metrics:

  • Task completion rates -- Are team members finishing assigned work on time?
  • SOP acknowledgement compliance -- Are team members reviewing and acknowledging procedures?
  • Quality scores -- Are procedures being followed correctly?
  • Engagement levels -- How actively is each team member participating in SOPHIE?

The Practice Scorecard tells you what is happening with your business numbers. The Team Performance Scorecard tells you why -- if collections are down, you can check whether the billing team is completing their tasks and acknowledging updated procedures.

The Analysis Engine

Behind the scenes, SOPHIE's Analysis Engine calculates team performance scores and generates insights automatically. It runs whenever relevant events occur -- SOP acknowledgements, task completions, status changes -- and can also run on a schedule. You do not need to trigger it manually. The scores you see on the Team Performance dashboard are always current.

Practical tips

  • Review the Practice Scorecard weekly during Power Hour. Make it part of your standing agenda so trends get discussed while they are fresh.
  • Use the Team Performance Scorecard in one-on-ones. Pull up an individual's scorecard when meeting with them to have a data-driven conversation about their progress.
  • Import historical data early. If you have past metrics in spreadsheets, import them so you can see trends from day one rather than waiting weeks to build up data.
  • Set realistic targets. Start with targets based on your current performance and adjust them upward as your team improves. Unrealistic targets discourage rather than motivate.
