Scorecard

The Scorecard tracks your practice's key performance indicators (KPIs) on a weekly basis. Instead of guessing how the practice is doing, you get a clear view of the numbers that matter most -- and whether you are hitting your targets.

What is the Scorecard?

Every successful practice runs on a handful of critical numbers. The Scorecard gives you one place to track those numbers week after week. Over time, you build a history that shows trends, highlights wins, and flags areas that need attention.

The Scorecard works alongside your Vision and Quarterly Plays. Your vision sets the direction, your plays define the projects, and the scorecard measures whether it is all working.

Defining metrics

Before you start entering data, set up the metrics you want to track. Navigate to Practice OS > Scorecard and click Edit Metrics to configure your scorecard.

For each metric, you will define:

Common dental practice metrics

Here are metrics that most practices find valuable:

  • Production -- Total dollar value of treatment delivered each week
  • Collections -- Actual payments collected each week
  • New patients -- Number of new patients seen
  • Case acceptance rate -- Percentage of presented treatment that patients accept
  • Hygiene reappointment rate -- Percentage of hygiene patients who schedule their next visit
  • No-show rate -- Percentage of scheduled appointments where the patient did not show up
  • Average treatment plan value -- Average dollar amount of treatment plans presented

You can add as many metrics as you need. Start with 5-8 core numbers and expand from there.

Weekly entries

Each week, enter your actual numbers for every metric:

  1. Navigate to Practice OS > Scorecard.
  2. Select the current week from the date picker.
  3. Enter the actual value for each metric.
  4. SOPHIE automatically compares your actual to your target.

The entry grid shows multiple weeks at a glance, so you can see recent history while entering new data. Metrics that hit or exceed the target are highlighted in green. Metrics below target are highlighted in red so you can spot problems quickly.

Try to enter your numbers at the same time each week -- many practices do this during a Monday morning huddle or Friday wrap-up.

CSV import

If you have been tracking numbers in a spreadsheet, you do not have to start from scratch. SOPHIE lets you import historical data so your scorecard has context from day one.

To import:

  1. Click Import on the Scorecard page.
  2. Upload a CSV file with your historical weekly data.
  3. Map each column in your file to the matching scorecard metric.
  4. Review the preview and click Import to load the data.

SOPHIE places each row into the correct weekly period based on the dates in your file. This is especially helpful during initial setup when you want to bring in months or years of past performance data.

CSV format tips

  • Include a date column so SOPHIE knows which week each row belongs to.
  • Use one row per week.
  • Column headers should match or closely resemble your metric names for easier mapping.

As you accumulate weekly data, the Scorecard builds a historical view that shows:

  • Week-over-week trends -- Is this metric going up, down, or holding steady?
  • Quarterly averages -- How did the practice perform across the quarter?
  • Target comparison -- How often are you hitting your weekly goals?

Use these trends to spot patterns. If new patients consistently dip in a certain month, you know to plan marketing ahead of time. If collections lag behind production, you know to look at your billing process.

The scorecard also ties back to your Vision growth targets. If your vision calls for 40 new patients per month, the weekly scorecard shows whether you are on pace.

Team scorecards

In addition to the practice-wide scorecard, SOPHIE supports individual team member scorecards. These track metrics that are specific to a person's role:

  • A hygienist might track reappointment rate and periodontal case acceptance.
  • A treatment coordinator might track case acceptance dollars and follow-up calls.
  • A front desk team member might track scheduling fill rate and confirmation calls.

Team scorecards give each person visibility into their own performance and help managers have productive one-on-one conversations backed by real data.

To set up a team scorecard, navigate to the team member's profile and configure their individual metrics and targets. Weekly entries work the same way as the practice scorecard.

Getting the most from your Scorecard

  • Be consistent. Enter data every week, even when the numbers are not great.
  • Review together. Use the scorecard in team meetings to celebrate wins and address problems.
  • Adjust targets. If you consistently exceed a target, raise it. If you never hit it, figure out whether the target is unrealistic or the process needs work.
  • Connect to plays. When a metric is lagging, create a Quarterly Play to address it.
