Action Items (Fix List)

Action Items -- also called the Fix List -- are AI-generated recommendations that tell you what needs attention in your practice operations. Instead of digging through dashboards and reports to figure out what is slipping, the Fix List surfaces the most important issues and puts them in front of you, ranked by priority.

How the Fix List works

SOPHIE's analysis engine reviews your workspace data and generates action items based on real signals:

  • Low acknowledgement rates -- SOPs that your team is not reviewing on time
  • Overdue procedures -- Published SOPs that have expired and need updating
  • Missing SOPs -- Gaps identified by the gap analysis that have not been addressed
  • Team performance trends -- Patterns in task completion, compliance, or engagement that suggest a problem
  • Compliance risks -- Areas where your practice may be falling short of regulatory expectations

Each action item includes a title, a detailed description of the issue, the AI's reasoning for flagging it, a priority level, and a direct link to the related SOP, team member, or metric.

Priority levels

PriorityWhat it means
1 -- CriticalRequires immediate attention. Typically involves compliance, safety, or a procedure that a significant portion of your team has not acknowledged.
2 -- HighImportant but not urgent. Should be addressed this week.
3 -- MediumWorth tracking. Schedule time to handle it, but it is not blocking day-to-day operations.

Items are sorted by priority by default, with critical items at the top.

Viewing and managing action items

Navigate to Action Items in the sidebar to see your full list. You can filter by priority level, department, or category, and search by title or description.

For each item, you have four options:

  • Complete -- Mark as resolved once you have addressed the underlying issue. This removes it from your active list.
  • Dismiss -- Remove the item if it does not apply to your practice. Dismissed items will not reappear.
  • Archive -- Keep for reference but remove from the active list.
  • View related entity -- Jump directly to the SOP, team member profile, or metric that triggered the recommendation.

Creating manual action items

Not everything comes from the AI. You can create your own action items to track operational fixes you have identified yourself. Manual items work the same way as AI-generated ones -- they appear in the list, can be prioritized, and can be marked complete.

Refreshing the list

Click Refresh to trigger a new analysis. SOPHIE re-evaluates your workspace data and updates the list with fresh recommendations. This is useful after you have made a batch of changes -- published new SOPs, resolved compliance issues, or reorganized your team.

How the Fix List helps your practice

The Fix List turns data into decisions. Instead of reviewing multiple dashboards to piece together what needs work, you get a single, prioritized list. Start at the top, work your way down, and your practice gets a little more organized every week.

AI required

Action items require AI features to be enabled in your workspace settings. Without AI, you can still create manual items. See AI Settings to enable.
