Power Meets

Power Meets are your practice's working meetings — daily, weekly or monthly — for the whole practice, a department, or leadership. SOPHIE gives every meeting the same shape so it stays on track: you prep ahead, run it live with a timed agenda, and read it back afterwards. What the room decides becomes tasks on people's My Day and items on the FIX List, so nothing said in a meeting is lost.

Open them from Power Meets in the sidebar, under your space.

There are two meeting formats:

  • The Huddle — the daily meeting. Seven short beats in about 15 minutes: wins, yesterday's numbers, where money is being left on the table, everyone's one thing, anything that needs an owner, commitments, and a closing line.
  • The Power Meet (sometimes shown as Power Hour) — the weekly or monthly meeting. Six steps in about an hour: Kickoff, Scoreboard, Quarterly Sprints, Headlines, Fix List and Recharge.

A meeting scheduled to repeat daily runs as a Huddle; weekly and monthly meetings run as a Power Meet.

This page covers the Power Meets page and setting meetings up. The rest of the meeting has its own pages:

The Power Meets page

  • Next up — your next meeting: when it is, how long, who's facilitating and how many are invited, with Open prep and a Prep status showing how much of the prep is done. While a meeting is running, a LIVE banner replaces it, with who's attending and a Join meeting button.
  • Filters — All meets, one chip per department, and Cross-dept for meetings that include more than one department.
  • Schedules — one row for each recurring meeting. Each row shows when it meets and who facilitates, plus two cards:
    • Next scheduled — whether it's Prepped or Needs prep, how many FIX List items are queued, how many headlines are in, and how many people have accepted.
    • Last completed — how it went: Fixes resolved, Tasks generated, New SOPs (new Standards) and Length, and whether a recording is available. Click a card to open that meeting.
  • Recent meetings — meetings started on the spot, without a schedule.
  • Which meeting was this? and Meetings SOPHIE got nothing from appear only when a recording needs your help. See After the meeting.

Schedule a recurring meeting

  1. Click + Schedule a meet.
  2. Fill in the sheet:
    • Who it's for — Whole practice, Departments (everyone holding a role in the departments you pick; pick several for a joint meeting) or Leadership (department leads, the practice manager and the owner).
    • Departments — which departments it covers.
    • Repeats — Daily, Weekly, Every 2 weeks or Monthly. Daily meetings let you pick the days the practice meets (Monday to Friday by default). Monthly meetings ask Which week: First, Second, Third, Fourth or Last.
    • Day, Time and Duration (min) (60 minutes by default, 15 at least). Timezone is optional; it follows your workspace if left empty.
    • Default facilitator (required) — who runs each meeting.
    • Invited users — click Fill from who it's for, then take off anyone who doesn't attend.
    • Invited roles — anyone holding these roles is invited too.
    • Recorded by — shown when your practice has a note taker connected. Leave it on Whatever the practice uses, or pick the note taker SOPHIE should prefer if the meeting is recorded twice.
    • Calendar — if you already run this meeting from a Google or Microsoft 365 calendar, point SOPHIE at it (see below).
  3. Click Schedule meet.

The Active / Paused switch at the top of the sheet stops a schedule from creating new meetings without deleting it. A paused schedule shows Inactive on the page.

To change a schedule, click Edit schedule on its row, make your changes and click Save changes. To remove it, click Delete, then Delete schedule. Meetings already created stay; only the rule that creates new ones goes away.

Follow a meeting that's already on your calendar

If the meeting already lives on a calendar, SOPHIE can follow its dates instead of keeping a second copy:

  1. In the schedule sheet, under Calendar, choose the calendar from Choose a calendar….
  2. Find the recurring meeting and click This one.

SOPHIE only reads the calendar — nothing is written to it. Move the meeting on your calendar and it moves in SOPHIE too. Check for past dates picks up earlier meetings in the series; Detach stops following it. This needs a Google or Microsoft 365 account connected in Settings. If the connection stops working, the sheet tells you to reconnect it.

Start a meeting now

You don't have to schedule a meeting to hold one. Click Start a meeting and choose:

  • Run the Huddle
  • Run a Power Meet, then the department
  • Full-practice meeting
  • Leadership meeting

The meeting opens straight away, already running, and shows under Recent meetings afterwards.

Good to know

  • Who can schedule meetings: creating, changing and deleting schedules (and linking a calendar) needs full admin access — in a standard setup, Super Admins.
  • Who can start a meeting on the spot: anyone with Start a meeting permission — Super Admins, Admins and Team Members, but not Guests.
  • Who can end a meeting: whoever is running it can always end it. Ending someone else's meeting needs End someone else's meeting permission (Super Admins and Admins). Everyone else can leave a meeting without ending it.
  • Everyone in the practice can read a meeting's record. Reading the word-for-word transcript is restricted — see After the meeting.
  • SOPHIE doesn't record meetings herself. She reads recordings from a note taker your practice has connected, and the notes typed during the meeting.
