Quarterly Sprints
Quarterly Sprints are the handful of priorities your team commits to for the next 90 days — "Launch the new-patient referral program", "Cross-train the front desk on insurance verification". They turn this year's Vision Map into a few concrete projects, each with an owner, a list of tasks, and a clear sense of whether it's on track.
Keep the list short. Three to five sprints a quarter is enough for a busy practice to actually finish them; you review them together in every Power Meet.
Open them from Quarterly Sprints in the sidebar, under your space.
Reading the page
- The quarter — the page opens on the current quarter, shown as "Q4 2026". Use the Previous quarter and Next quarter arrows to look back or plan ahead.
- The summary — how many sprints there are, how many are in progress, complete and not started, and the share of sprints that are complete.
- The sprints — grouped by category: Company, Marketing, Sales, Finance, Operations and Admin. Each card shows the title and description, a progress bar of tasks done (once it has tasks), the due date and the status. Cancelled sprints are dimmed and struck through.
Add a sprint
- Make sure the page shows the quarter you want, then click New sprint.
- Fill in the sheet:
- Title (required) — start with a verb so the intent is obvious.
- Category (required).
- Status — usually Not started.
- Description — what does done look like, and why does it matter this quarter?
- Due date.
- Owner (required) — pick the role that owns it. An owner is a role, so the sprint survives a change of who holds it. The sheet shows who holds the role today.
- Linked metrics — Scoreboard metrics that tell you whether the sprint is working. Search the board and pick one or more.
- Headline metric — once metrics are linked, you can pin the one number this sprint is about.
- Click Add sprint.
Tasks are added once the sprint is saved — see below.
Add tasks
Tasks are the concrete steps of a sprint. Each one lands on its person's My Day, and the sprint's progress is the share of tasks done.
- Click the pencil (Edit) on the sprint's card.
- Under Tasks, type the task in Add a task.
- Optionally pick a due date.
- Choose Who does it:
- Owner role holder (the default) — the person who holds the sprint's owner role.
- A specific person.
- Nobody yet — the task stays on the sprint and doesn't reach anyone's My Day until you assign it.
- Click Add (or press Enter).
Tick a task's checkbox to mark it done, or use its dropdown to hand it to someone else. A task with no due date shows on My Day every day until it's done, and is never counted as missed.
Change a sprint
- Status: use the status dropdown on the card, or the Status buttons in the edit sheet. The statuses are Not started, In progress, Complete and Cancelled. Status is set by hand — finishing every task doesn't mark the sprint complete for you.
- Details: click Edit, change anything, and click Save sprint.
- Delete: click the trash icon, then Delete.
Is it on track?
Each sprint also has a standing: On track, At risk or Behind (or Not judged yet at the start). SOPHIE works it out each week, first from the linked metrics against their targets, then from tasks done against how much of the quarter has passed — for example "2 of 3 linked metrics on target · 4 of 6 tasks done with 40% of the quarter gone".
The owner can make their own call. Whoever holds the sprint's owner role opens Edit, goes to On track, picks On track, At risk or Behind, writes why (the team reads this), and clicks Make the call. Their call replaces SOPHIE's until they click Clear.
Where sprints show up
- My Day — the sprint's tasks appear on each assignee's My Day. Anyone who holds an open sprint's owner role for the current quarter also sees a row for the sprint itself, showing its tasks done and its standing; click it to open Quarterly Sprints.
- Power Meets — the meeting has a Quarterly Sprints step ("Where the priorities stand") where the team walks each sprint, confirms where it stands, changes status, adds and ticks tasks, and sends blockers to the FIX List.
- Vision Map — the Quarterly Sprints section shows a summary of this quarter's sprints. There, and in a few other places, sprints are called plays — the same thing.
Good to know
- Anyone in the workspace can add, edit and delete sprints. There's no separate permission, so agree who keeps the list tidy.
- Only the owner role's holder (or the practice owner) can make the owner's call on whether a sprint is on track.
- The headline metric has to be one of the sprint's linked metrics.
- Progress without tasks: a sprint with no tasks counts as fully done when it's Complete and half done when it's In progress.
- End of quarter: use your last Power Meet of the quarter to close out — mark what's complete, cancel what you've dropped, and use Next quarter to set up the new sprints.
