Autopilot Mode

Autopilot Mode is a different way to work through your day. Instead of a list, SOPHIE plans your day, puts one thing in front of you at a time, and moves you on as soon as it's done. If something comes up, you tell her and she fits it in.

note

Autopilot Mode is a preview. It works alongside My Day, not instead of it: the tasks are the same ones, and anything you check off in Autopilot is checked off in My Day too. Parts of it are still being built and may change.

Open and leave Autopilot

  1. Click your profile picture at the top right.
  2. Choose Autopilot Mode.

Autopilot fills the whole screen. To go back to the rest of SOPHIE, click Exit at the top right.

If you hold more than one role, buttons for each role appear at the top. Pick one to see that role's day.

Work through your day

The big card in the middle is Right now: the one thing SOPHIE wants you to do next, with its steps and how far through this part of the day you are. Tick off steps as you go, then:

  • Mark done when it's finished. SOPHIE checks it off and moves you to the next thing.
  • Too early if it isn't the right time. SOPHIE brings it back a little later.
  • Not mine if it belongs to someone else. SOPHIE logs it for your manager to reassign.
  • Blocked if you can't do it yet. It stays on the board and SOPHIE flags it for your manager.

The … menu next to these has a couple more options, such as moving the task down one or snoozing it for 15 minutes. Click Why this, now? to see why SOPHIE put this task first.

Under the card, Up next shows what's coming. The Your day timeline down the side shows everything planned for today, including what you've handed off or marked blocked.

Tell SOPHIE something came up

Click Something came up and describe what's happening, even if it has nothing to do with your list ("The AC went out and the waiting room is getting warm…"). SOPHIE tells you what to do and who to call, then folds it into your day. You can choose Do this now or Add to my day.

When your list is done

When you've finished everything, the Work ahead section offers ways to keep going: Find me work has SOPHIE pull together what's worth getting ahead on, and Ask my manager lets your manager know you're free and asks them for something to pick up.

Planning on and off

Above the card, a line tells you when SOPHIE planned your day. Click Re-plan to have her plan it again (for example, after your schedule changes). Click Planning on to switch Autopilot planning off for yourself; click Planning off to turn it back on.

For managers

Managers see an inbox icon at the top, and a Needs your confirmation card when something is waiting: tasks people have marked Not mine, things that are blocked, and corrections SOPHIE wants you to confirm. Click Review to work through them. You can reassign a task, acknowledge it, or send it back. Confirming teaches SOPHIE, so she routes similar items on her own next time.

After hours

When the office is closed, Autopilot shows The office is closed and an On the horizon list of what's coming up, with a box to ask SOPHIE anything forward-looking.

Set up the practice directory

When something comes up, SOPHIE looks in your practice directory for who to call and what to do. Click Setup at the top of Autopilot to open Practice directory, which has four tabs:

  • Vendors: name, the categories they cover (one vendor can cover several), phone, hours, account number and notes.
  • Equipment: each asset with its type, how often it needs servicing, when it was last serviced, and whether it's active or out of service.
  • Compliance: licenses and other items with their scope and expiry date.
  • Playbooks: named scenarios, when to use each one (this helps SOPHIE match), and the steps, one per line.

Add an entry with the form on each tab, and use Edit or Delete to change one. Click Back to return to Autopilot.

Good to know

  • Autopilot uses your real tasks, the same ones on My Day.
  • The Studio screen (switch to it with Studio at the top) is an early preview of how owners and managers will shape Autopilot. Changes there don't affect your practice's tasks yet.
