Trash and Restoring

Deleting something in SOPHIE doesn't remove it straight away. Deleted standards, to-dos and FIX List items go to Trash, where they wait for 30 days. Until then you can bring any of them back with one click. After 30 days they're removed for good.

Delete a standard

Only people whose role can manage standards can delete them (in Settings › Roles, the SOPs permission level "Publish, approve, archive and delete").

  1. Open the standard and click Edit.
  2. Click the trash icon (Delete SOP) in the panel's header.
  3. Confirm with Delete. The message reminds you that the standard "will be recoverable for 30 days before being permanently deleted."

You can also delete standards from the Bulk Edit table, using the trash icon at the end of a row.

What happens when a standard is deleted

  • It disappears from the Standards library, search, and everyone's lists.
  • Open tasks for it are cancelled: My Day tasks, review and approval requests, acknowledgement requests and comment mentions. No new tasks are created for it.
  • It's taken off any FIX List items and Patient Journey steps that link to it. Those links are kept aside, not thrown away. If you restore the standard, they come back.

Open the Trash

Trash doesn't have its own entry in the sidebar. To open it, go to your workspace address and add /trash to the end, for example app.hisophie.ai/your-workspace/trash. Bookmarking it is a good idea.

The page has up to three sections:

SectionWhat's in itWho sees it
Deleted to-dosTo-dos you created and then deleted. Columns: Title, Assignees, Deleted On, Expires. Each person sees their own.
Deleted Fix List itemsFIX List items deleted in this workspace. Columns: Title, Department, Deleted On, Expires.Everyone in the workspace.
Deleted SOPsStandards deleted in this workspace. Columns: Title, Status, Deleted On, Expires On.People whose role can manage standards.

The expiry column counts down, for example "12 days remaining". It shows "Expiring soon" on the last day.

When a section is empty, you'll see a message such as No deleted items, No deleted to-dos or No deleted Fix List items.

Restore something

  1. Open Trash.
  2. Find the item and click the restore button (the curved arrow) at the end of its row.

A confirmation appears: SOP restored, To-do restored ("… is back on My Day") or Fix List item restored ("… is back in your Fix List").

A restored standard comes back with the status it had when it was deleted. A published standard returns as published. Its FIX List and Patient Journey links are put back too.

Good to know

  • 30 days, then gone. Removal is automatic, and once it happens nothing can bring the item back, not even LeadWell support.
  • Nothing is shown to the team while it's in Trash. A deleted standard can't be read, acknowledged or commented on until it's restored.
  • Tasks don't come back by themselves. Tasks cancelled when the standard was deleted stay cancelled. A scheduled standard puts new work on My Day again from its next scheduled day.
