Reading the Scoreboard

The Scoreboard is where your practice keeps the handful of numbers that tell you how the business is really doing — collections, production, new patients, leads, and whatever else you choose to track. Each week those numbers go in, either typed by someone on your team or collected for you from your practice management system, and SOPHIE shows you at a glance whether you are ahead of your goals, on track, or falling behind.

Open it from Scoreboard in the sidebar, under the space you are working in. Each space keeps its own Scoreboard, so if your practice has several locations set up as spaces, each location has its own metrics, its own goals and its own weekly numbers. Switch spaces to see another location's board.

How the board is laid out

Metrics are rows and time periods are columns. Read across a row to see how one number has moved over time; read down a column to see how the whole practice did in one week.

At the top of the page:

  • Week, Quarter and Year switch the columns. The rows stay exactly the same in all three — only the periods change.
  • Settings opens the Manage KPIs panel, where you choose what the board tracks and set goals. See Setting up metrics and goals.
  • A short status beside the title tells you what is happening: saving…, last saved with a time, or collecting while new numbers are on their way in.

Below the header sit two summaries:

  • The revenue banner shows your annual revenue goal (set on the Vision Map), how much you have collected toward it this year, whether you are Ahead of pace or Behind pace, and three figures: This week, This quarter and To hit goal. It follows whichever metric is marked as your revenue tracker. If none is marked, it tells you so — pick one in Manage KPIs.
  • The pace strip has one card per metric showing where it stands for the quarter to date against its target, and what you need this week to stay on pace. A metric with no goal says No target set rather than looking like it is failing.

The three views

ViewColumnsSummary column on the right
WeekEach week of the quarter so farThe quarter to date, for example "Q3 to date · 9 of 13 wks"
QuarterThe four quarters of the yearThe year to date, for example "2026 YTD · 3 of 4 qtrs"
YearThe last three yearsAll years to date

In the Week view, the quarter picker in the Weekly history heading lets you look back at an earlier quarter. Weeks that have not started yet are not shown.

Board weeks run Sunday through Saturday. Week 1 is the week that contains January 1, so it can begin in late December. A quarter is 13 board weeks.

Reading a row

Each row's label tells you what the number is, who looks after it, and where it comes from. Next to the name is a small tag:

TagWhat it means
TYPEDSomeone on your team enters this number each week.
COLLECTEDSOPHIE collects this from your practice management system. Nobody needs to type it.
COMPUTEDSOPHIE works this out from other rows on the board. It has no goal and is never scored.
COMING SOONA standard metric that nothing can supply yet. You can see it and set a goal, but nobody can fill it in. The row explains why.

On narrow screens the tags shorten to TYPED, AUTO, CALC and SOON.

Below the name, a line shows the owner, the department and the target. Some totals, such as Collections or Production, can be broken down into indented rows beneath them, one per provider, with an Other row for whatever is left over. A total with a breakdown has a small arrow to open and close it, and Expand all / Collapse all above the board does every group at once. See Breakdowns and the Other row.

Reading a cell

What you seeWhat it means
A number with a small coloured chipThe chip shows how far ahead of or behind the target this period is.
A number with no chipThe metric has no target, so there is nothing to judge it against.
A percentage under a number in a breakdown rowThat provider's share of the total for that period.
A thin coloured bar under a totalHow the total splits between its breakdown rows, so you can see the parts add up without doing the sum.
$0 or 0 in greyA confirmed zero: nothing happened that period.
— with a dotted underlineNo number. On a typed row it says not entered; on a collected row it says not collected.
— with collects overnight under itThis week's figure for a collected row has not arrived yet.
A small amber triangle before the numberSomeone overrode a collected number by hand. See Numbers collected from your practice software.

A dash is never a zero. A week with no number is left out of every total, every target and every pace calculation. The legend above the board says the same: "$0 = confirmed zero" and "— = not entered / not collected · never counted as zero".

When is a number on target?

Each metric says whether higher or lower is better (lower for things like Accounts Receivable). SOPHIE compares the number to the target for that period:

  • Ahead — at least 5% better than the target (for a percentage metric, at least 2 points better).
  • On target — close to the target either way.
  • Behind — more than 5% worse than the target (for a percentage metric, 5 points or more worse).

The summary column compares the period's total to the target for the weeks that actually have a number, so empty weeks never drag you behind.

Enter your weekly numbers

In the Week view, the tinted column is the current week and is open for entry on every typed row you are allowed to fill in.

  1. Click the cell for your metric in the tinted column.
  2. Type the number. Do not type the dollar or percent sign — the cell adds it.
  3. Press Enter to finish that cell, or just move on. SOPHIE saves a couple of seconds after you stop typing, and also saves when you switch weeks or leave the page.

Under each entry box you will see the week's target, or no target.

To fill in or correct an earlier week, click any cell on a typed row in that week. The entry column moves there, after saving anything you had pending. Collected and computed cells cannot be typed into — see why.

To clear a number you typed, open the cell's detail (below) and choose Clear this number, then Clear. The cell goes back to empty — which is not the same as zero and is not counted in any total. If the number really was zero, type 0 instead.

Weekly reminder

On Friday morning, anyone who is assigned a typed metric gets one task on My Day — Enter this week's Scoreboard number (or numbers, with a count) — listing what they still owe for the week. It completes itself once every number is in.

Friday is entry day for the week that is ending. Collected numbers arrive overnight through the week. A good habit is to review the week that just finished at the start of the next one, for example in your Power Meet.

The cell detail panel

Every cell has a detail panel that answers "where did this number come from?" On a collected or computed row, click the number. On a typed row, hover over the cell and click the small i button that appears (in the entry column it sits beside the target).

The panel shows:

  • Owner and Assignee — who is answerable for the result, and who supplies the number. A collected row's assignee is SOPHIE. If the assignee role has nobody in it, the panel says "Nobody is in this role, so nobody is asked for this number."
  • Where this comes from — "Typed by" and the person and time for a typed number; "Collected from" and the report and time for a collected one; or an explanation for a computed or coming-soon row.
  • Entry history — every change to the cell, newest first: who entered, changed or cleared it, and when.
  • Adds up … — for a row that combines several providers, who it adds together.
  • Comment — a note on why the number is what it is.

Add a comment

Comments explain a number to everyone else — "office closed Thursday", "two big cases paid early".

  1. Open the detail panel for the cell in the column that is open for entry (click a cell in another week first to move the entry column there).
  2. Click Add comment and type your note.
  3. It saves along with the week's numbers.

The comment shows in small italic text under the number. Only the person who wrote a comment can delete it, using the trash icon beside it. Comments on collected and computed rows are shown read-only.

Good to know

  • Who can see the board. You need See the Scoreboard to view it. Edit any metric lets you type into every typed row; Add metrics and Delete metrics let you change what the board tracks. These are set in Roles and permissions.
  • Anyone can fill in their own metric. If a typed metric is assigned to one of your roles, you can always enter it, even without edit permission. If you can only see your assigned metrics, the board shows just those rows for the current week, with the note "Showing the metric you are assigned to. Ask your manager to request the whole Scoreboard." The Quarter and Year views, the revenue banner and the pace strip are not shown.
  • No access. Without permission, the page says "You do not have access to the Scoreboard. Ask your manager to request it."
  • Quarter and Year are rollups. They are built from weekly numbers, so you enter and correct numbers in the Week view only. A closed quarter shows its final total; the quarter in progress is paced against the weeks so far.
  • Totals and balances roll up differently. Something that adds up — collections, new patients — is summed across weeks. A rate, an average or a balance is not: a quarter's A/R is where it stood at the end of the quarter, and a rate's quarter figure is its average. See Setting up metrics and goals.
  • No numbers yet? A board with nothing set up says No KPIs defined yet. If you can add metrics, click Add your first metric.
