My Day
My Day is your personal daily task list in SOPHIE. It answers a simple question: What do I need to do today?
Every morning, SOPHIE looks at the SOPs assigned to your role and generates a task list tailored to you. Instead of trying to remember which procedures to follow or flipping through a binder, you can open My Day and see exactly what needs your attention.
How tasks are generated
SOPHIE creates your daily tasks automatically based on the SOPs that are assigned to your role. You do not need to create tasks yourself or ask anyone to assign them. As long as an SOP is published and assigned to your role, SOPHIE handles the rest.
There are two types of tasks you will see:
Daily SOPs create a new task every working day. These are the procedures you perform routinely, like opening the office, sterilizing instruments, or reconciling the day's payments. Each morning, SOPHIE generates a fresh task for every daily SOP that applies to you.
Scheduled SOPs create tasks only when they are due. SOPs can be set to weekly, bi-weekly, monthly, quarterly, yearly, or custom frequencies. When a scheduled SOP's due date arrives, it appears on your My Day list alongside your daily tasks. For example, a monthly inventory check will show up once a month rather than every day, and a quarterly fire drill review will appear four times a year.
Weekly and bi-weekly SOPs can run on multiple days — for example, every Monday, Wednesday, and Friday. Monthly and quarterly SOPs can also use relative scheduling like "the last Friday of the month" or "the 3rd Thursday of the quarter."
SOPHIE also respects your practice's office hours. Tasks are only generated on days your practice is open, so you will not see tasks piling up over weekends or holidays when the office is closed.

What determines which tasks you see
Your tasks come from the SOPs assigned to your role. If you are an Office Manager, you will see tasks for SOPs assigned to the Office Manager role. If an SOP is assigned to "All Staff," everyone in the practice will receive that task.
For SOPs using Round Robin or Workload assignment, you only see the task when it is your turn. SOPHIE decides who gets the task each day based on rotation or capacity. See Assignment Types for details.
You will not see tasks for SOPs assigned to other roles (except team tasks — see below). If you think you are missing a task or seeing one that does not apply to you, your manager can adjust the SOP assignments.
Multi-time SOPs
Some SOPs need to happen more than once during the day — for example, a procedure at the beginning of the day and again at closing. When a SOP is assigned to multiple time slots, it appears as a separate task in each section of your My Day. Each occurrence is independent, so you can complete the morning task without affecting the evening one.
Schedule column
Each task shows a compact schedule label in the schedule column — for example, D·B (Daily, Beginning of Day) or W·E (Weekly, End of Day). Hover over the label to see the full description in a tooltip, such as "Daily · Beginning of Day" or "Weekly · End of Day."
Team tasks
When a SOP uses Round Robin or Workload assignment, the task is assigned to one specific person. But your teammates' assigned tasks also appear in your My Day — sorted to the bottom of each time-of-day section — so you have visibility into what your team is working on.
Key things to know about team tasks:
- Team tasks are shown below your own tasks in each section (Beginning, During, End)
- They do not count toward your completion score (the "X of Y completed" count only reflects your own tasks)
- Each team task shows the assignee's name and their completion status: "Name · Done" or "Name · Pending"
- Section heading counts only include your tasks — team tasks are excluded from the numbers
Team quick view
Use the Team tab at the top of My Day to see only team tasks. This gives you a focused view of what your colleagues are working on today without scrolling past your own tasks.
Taking a task from a teammate
If a teammate is busy and you want to help, you can volunteer to take their task. Look for the hand icon next to the assignee's name on any team task. Click it to take the task.
- While the transfer is processing, you will see "Taking..." next to the button
- Once complete, the task moves to your list and shows "You volunteered" as the assignment label
- Your own assigned tasks show "Assigned to you" to distinguish them from tasks you volunteered for
Taking a task is a helpful way to support your team on busy days. SOPHIE tracks both assignments and volunteering, so your manager has full visibility into how the team collaborates.
Setting up your work schedule
Not everyone in the practice works the same days. A hygienist who works Monday through Thursday should not see Friday tasks marked as missed. That is why SOPHIE lets you set your personal work schedule.
Your work schedule is personal to you. Each team member sets their own schedule independently, so part-time staff, hygienists who work alternating days, and full-time front desk staff can all have accurate task lists.
To configure your schedule:
- Go to Settings from the main navigation.
- Select the Preferences tab.
- Scroll to the Work Schedule section.
- You will see buttons for each day of the week: Mon, Tue, Wed, Thu, Fri, Sat, and Sun. Click a day to toggle it on or off. Selected days appear highlighted; unselected days appear dimmed.
- Click Save to apply your changes.
Your changes take effect immediately. The next time SOPHIE generates tasks, it will use your updated schedule.
By default, Monday through Friday are selected and Saturday and Sunday are not. Adjust this to match the days you are actually in the office.
What happens if you do not set a schedule? SOPHIE will generate tasks for you on every day the practice is open. Setting your schedule ensures you only receive tasks on days you are working, which keeps your completion rate accurate and avoids unnecessary missed tasks.
Examples
- You work Monday through Friday. Keep the default schedule. You will get tasks each weekday.
- You work Tuesday through Saturday. Deselect Monday, select Saturday, and save. You will see tasks on Tuesday through Saturday and nothing on Sunday or Monday.
- You work part-time, Wednesday and Thursday only. Select just those two days. Tasks will only appear on Wednesday and Thursday.
Completing tasks
When you arrive at the practice in the morning, open My Day to see your task list for the day. As you finish each procedure, mark the task as complete by clicking or tapping the checkbox next to it.
Your completion rate is tracked over time and feeds into your performance scorecard. Consistently completing your tasks shows that the practice's procedures are being followed, which helps the whole team stay aligned.
There is no strict order to completing tasks. Work through them in whatever sequence makes sense for your day. Some people prefer to knock out quick tasks first; others follow the natural flow of the morning. The important thing is that everything gets checked off before you leave.
Each task links back to its SOP, so if you need to review the procedure details before starting, you can open the SOP directly from your task list. This is especially helpful for scheduled tasks that only come up once a month or once a quarter, where the steps may not be as fresh in your mind.
Missed tasks
Life in a dental practice is busy, and sometimes a task does not get done. Here is how SOPHIE handles that:
- Daily tasks that are not completed by the end of the day are automatically marked as Missed the following day. They do not carry over as open tasks; instead, a new task is generated for the current day.
- Scheduled tasks (weekly, monthly, quarterly) that are not completed remain open until their next due date.
Missed tasks are not meant to be punitive. They serve as a signal that helps the practice identify patterns. If a particular SOP is frequently missed, it might mean:
- The procedure needs to be simplified or updated.
- The SOP should be reassigned to a different role.
- The team member needs additional training or support.
Your manager can review missed task trends and work with you to find the right solution. The goal is continuous improvement, not blame.
A typical day with My Day
Here is what using My Day looks like in practice:
When you arrive at the practice in the morning, open SOPHIE and navigate to My Day. You will see your tasks for the day already waiting for you, organized by time of day (Beginning, During, End). Glance through the list to plan your morning.
Throughout the day, mark tasks as complete as you finish them. If you sterilize instruments first thing, check that off. When you complete the morning huddle checklist, mark it done. There is no need to do everything at once.
Check on your team. Scroll down past your tasks or switch to the Team tab to see how your colleagues are doing. If someone is swamped and you have capacity, volunteer to take one of their tasks.
Before you leave for the day, take a quick look at My Day to make sure nothing was overlooked. If something could not be completed due to circumstances beyond your control, let your manager know so they can address it.
At the start of a new week, you may see scheduled tasks appear alongside your daily ones. A weekly supply order or a monthly equipment check will show up right when it is due. These scheduled tasks are a helpful reminder so nothing falls through the cracks during a busy week.
Tips for getting the most from My Day
Check My Day first thing each morning. Make it part of your opening routine. Knowing what is ahead helps you plan and prioritize.
Complete tasks as you go. It is easier to mark a task done right after finishing it than to try to remember everything at the end of the day.
Keep your work schedule up to date. If your days change, update your schedule in Settings so your task list and completion rate stay accurate.
Use the Team tab for awareness. A quick check on your team's progress helps the practice run smoother. If you see a colleague has tasks piling up, offer to help.
Talk to your manager about SOP assignments. If you consistently see a task that does not apply to your actual responsibilities, let your manager know. They can reassign the SOP to the right role, which helps everyone.
Do not stress about the occasional missed task. The goal is progress, not perfection. My Day is a tool to help you stay organized and to help the practice run smoothly. Use it as a guide, and work with your team to address any recurring gaps.
Frequently asked questions
Why do I not see any tasks today? There are a few possible reasons. It might be a day you have not selected in your work schedule, the practice may be closed today, or there may be no published SOPs assigned to your role yet. For Round Robin or Workload SOPs, it might not be your turn today. Check with your manager if you expect to see tasks but do not.
Can I add my own tasks to My Day? My Day is generated from your practice's SOPs. If there is a procedure you perform regularly that is not showing up, ask your manager about creating an SOP for it and assigning it to your role.
I changed roles. Will my tasks update? Yes. My Day is based on your current role assignments. Once your manager updates your role in SOPHIE, your task list will reflect the SOPs assigned to your new role starting the next working day.
I work at multiple locations. How does that work? Your work schedule and task list are per workspace. If your practice has separate SOPHIE workspaces for each location, you will have an independent My Day in each one.
A task appeared that I already completed yesterday. Is that a duplicate? No. Daily SOPs generate a brand new task each working day. Yesterday's completed task stays in your history, and today you get a fresh one. This is by design so that recurring procedures are tracked separately each day.
What does "Assigned to you" vs "You volunteered" mean? "Assigned to you" means SOPHIE assigned the task to you through the normal scheduling process (Everyone, Round Robin, or Workload). "You volunteered" means you clicked the take button on a teammate's task to help them out. Both count toward your completion score equally.
Do team tasks affect my completion rate? No. Team tasks (tasks assigned to other people via Round Robin or Workload) are shown for visibility only. Your completion score is based solely on tasks assigned to you.
How does Round Robin decide whose turn it is? SOPHIE tracks who was assigned last and moves to the next person in the role. If someone is out of office or not scheduled to work that day, they are skipped. The rotation resumes with them when they return. See Scheduling & Assignment Types for full details.
