Comments
Comments let your team talk about a Standard right where it lives, without changing the document. Ask a question, suggest a change, flag a problem, or loop in the person who needs to answer. Everything stays attached to the Standard, so the next person to read it can see the conversation.
Open the comments
Open the Standard. Comments is the first tab in the side panel and opens by default. On a phone, the panel sits below the Standard's content.
To find an old comment, click the Search icon in the panel and type in Search comments....
Add a comment
- Click in the box that reads Add a comment... Type / for actions, # to link a SOP.
- Type your comment.
- Press Enter (or click the send arrow). Shift+Enter starts a new line.
If you have no comments yet, you'll see No comments yet, Be the first to comment.
Reply and threads
- Click Reply under a comment to answer it. A Replying to {name} pill shows above the box; press Esc to cancel.
- Click View thread to open the whole conversation in a side sheet.
- Replies collapse under their comment behind a 2 replies toggle.
Threads are one level deep: replying to a reply adds to the same thread.
@mention someone
Type @ and pick a teammate from the list. They get the comment in their Inbox (and a push notification on the mobile app) so they can jump straight to it.
- Always pick the person from the list. If you type an @name without picking it, SOPHIE warns you that it isn't linked to anyone and won't send the comment until you pick the person or remove the "@".
- You can't mention yourself.
- Hover a mention to see that person's roles and whether they're Available, Not working today or out of office.
A mention is something to act on. It stays in the person's Inbox until they deal with it, and replying on the Standard marks it done.
Set a priority
Click the flag icon (Set priority) and choose Low, Medium, High or Critical. Comments are Medium unless you change it. The priority shows on the comment and carries through to the notification the mentioned person gets.
You can also type / to pick a priority, or say it when dictating ("high priority", "urgent").
After posting, only you can change your comment's priority.
Attach images, files and links
- Images and videos: paste them, drag them onto the panel (Drop image or video to attach), or use + › Add Image. They show inline.
- Other files: drag them in. They appear as a file card with the name and size.
- Web links: paste a URL and it becomes a preview card.
- Google Docs: + › Add Google Doc links a doc from Google Drive, when Drive is connected.
Link another Standard or a FIX List item
- Type # and pick a Standard from Link an SOP. It appears as a clickable chip.
- Type / for Actions:
- Attach SOP: drop a clickable Standard chip into the comment.
- Attach Fix List item: drop a clickable FIX List chip in.
- Create Task: assign a task using this Standard. Anyone you @mentioned becomes an assignee, and the comment gets a chip linking to the task.
- Add Image and Add Google Doc.
Dictate a comment
Click the microphone to speak your comment. Say a teammate's name after "at" to mention them, and say "urgent" or "high priority" to set the priority.
Edit or delete a comment
- Edit: only on your own comments. Make your change and click Save. Edited comments show (edited).
- Delete: hover your comment and click Delete. There's no confirmation, so be sure.
- Workspace owners and people with the Delete anyone's comments permission see Remove on other people's comments. Nobody can edit someone else's words.
Deleting a comment also cancels any task created from it.
Who hears about a comment
- People you @mention get an Inbox item at the comment's priority.
- The author of the comment you replied to is told about your reply.
- Followers (the Standard's author and the people in its owner and assigned roles) see each comment in the Following tab of their Inbox. These don't add to your unread count. Anyone can stop following with the Following button at the top of the Standard.
When you open a Standard from a mention, a banner (You Were Mentioned) points you to the highlighted comment.
Reminders for unanswered mentions
Your practice can have SOPHIE nudge people who haven't replied to a mention. It's off until an admin turns it on in Settings › Workspace under Comment response times:
- Nudge people who haven't replied turns reminders on.
- Time to reply, by priority sets how long someone has before the nudge. The defaults are 60 minutes for Critical, 8 hours for High, 24 hours for Medium and 48 hours for Low.
- Email the nudge too also sends it by email (on unless switched off). People can mute this for themselves with the Mention Overdue notification.
A nudge appears in the person's Inbox as Overdue: respond to comment on …, and the Standard shows an Overdue Mention banner. Each mention is nudged once.
Good to know
- Comments are never shared publicly. A public link to a Standard never includes its comments.
- Comments vs. editing. Use comments to ask, suggest or flag. Edit the Standard when a change is agreed and just needs making.
- Links to a comment. Opening a mention from your Inbox scrolls straight to the comment and highlights it.
- SOPHIE's comments appear under her name with an AI badge and her sources.
