The Template Library and Setup Wizard

You don't have to write every standard from scratch. The Template Library holds ready-made standards for common practice routines: opening and closing, sterilization, insurance verification, patient check-in, and many more. Pick the ones that fit, and SOPHIE adds them to your practice as drafts, already filled in with your software and assigned to your roles.

Your library starts empty on purpose, so it holds only what your practice actually does. Templates are a fast way to fill it.

The setup wizard

When a new workspace is created, SOPHIE walks the owner through a short setup wizard. Its job is to set up your practice's structure and gather the details that personalize templates later.

  1. Set Up Your Practice. Tell SOPHIE your Practice Management Software (PMS), Phone System, X-Ray / Imaging System and State. She uses these to fill in the right software names and state-specific compliance details in templates. Click Next: Review Your Team.
  2. Review your team. Adjust the suggested roles and invite people. Click Looks good — let's go.
  3. Setting up your practice... SOPHIE creates your departments, roles and team structure. When she's done, you can click Browse SOP templates to go to the Template Library, or Go to Dashboard.

The wizard doesn't add any standards itself. You choose those from the library, now or any time later. You can change the practice details later in Settings › Practice profile.

Open the Template Library

The Template Library isn't in the sidebar. You can reach it:

  • From the end of the setup wizard, with Browse SOP templates.
  • From SOP Library in Gap Analysis, which shows which common procedures your practice doesn't have a standard for yet.
  • By adding /library to your workspace address, for example app.hisophie.ai/your-workspace/library.

Browse and find templates

The library is a table of Templates, with the count beside the heading. Each row shows the Title, Department, suggested Roles, Flow, Schedule, Time of day and Tags.

  • Search templates... matches titles, tags and role names as you type.
  • Department and Flow filters narrow the list.
  • Click any row to preview it: a description, a summary of the content, Suggested Roles, the Schedule, Regulatory Sources and Tags. Templates marked Regulatory Required cover a regulatory requirement.
  • CSV downloads the current list as a spreadsheet, which is handy for reviewing templates with your team.

Template titles already show your own details. Where a template mentions your practice management software, for example, you'll see your system's name.

Add templates to your practice

  1. Tick the templates you want. The header checkbox ticks everything in the current list.
  2. Click Import (N).
  3. In Import N Templates, check the summary: they'll be imported as drafts, and duplicates are skipped. Tick Import title and properties only (no content) if you want to write the steps yourself.
  4. If every suggested role matches a role in your practice, click Import. Otherwise click Next: Map Roles:
    • Matched automatically lists roles SOPHIE matched by name.
    • Needs your input lists template roles with no match. Choose one of your roles from Select role... for each, or Skip (do not assign).
    • Click Import N SOPs.
  5. When it's done, Import Complete shows how many were imported as drafts, skipped, or hit an error. Click Done.

Your new standards are in the Standards library with the Draft status.

What an imported template looks like

  • Status: Draft. Nothing is published until you publish it.
  • Owner and assignees: the roles you matched or mapped. Its department comes from those roles. If no roles were mapped, the standard has no assignees until you add them.
  • Schedule: the template's suggested schedule for those roles.
  • Content: the template's steps, with your practice's details (software, phone system, state and so on) filled in.
  • Tags: copied from the template.
  • Spaces: all spaces.

Good to know

  • Duplicates are skipped by title. If you already have a standard with the same title (ignoring capitals), that template is skipped and listed as skipped.
  • Review before publishing. Templates are a starting point. Read each one, adjust it to how your practice actually works, and check the roles and schedule before you publish. See Review and publish.
  • Who can import: adding templates needs a role that can write standards ("Write and edit drafts" in Settings › Roles).
  • Fill in your practice profile first. Templates use your practice profile to personalize their content, so set it up before importing.
