Versions and History

SOPHIE keeps every version of every Standard. You can see how a procedure got to where it is, compare any two versions, and bring back an earlier one if a change didn't work out. Nothing is ever lost, and every change has a name and a date on it.

Version history lives in the side panel on the Standard page, alongside Comments, Activity, Acks and Links. On smaller screens the panel shows icons; hover one to see its name.

When a new version is made

  • Every save that changes the content creates a new version and moves the number up (v3 becomes v4).
  • Publishing records the published version, so you can always tell which one the team was following.

The version number shows at the top of the Standard, next to its status.

Look through the history

  1. Open the Standard.
  2. In the side panel, open Versions.
  3. Use the filters to narrow the list:
    • All: every version.
    • Published: only versions that went live.
    • Working saves: saves that were never published.

Versions are grouped by day (Today, Yesterday, then dates). Each row shows:

  • the version number and its status
  • what that version introduced: a short list of the changes, or Content updated if no summary was recorded
  • the kind of change: Instructions, Safety, Clarification, Media, Administrative or Updated, plus Safety Change when a safety step was touched
  • who wrote it, and when

A version describes what it introduced

Each row tells you what that version changed compared with the one before it, and names the person who wrote it. So if v4 says "Added a step for checking expiry dates", that's the change v4 brought in, made by the person shown on v4.

A restored version says Restored v{n} so you can tell a restore from a fresh edit. Some very old versions may say a change was not recorded in this version.

Compare two versions

  1. In Versions, click Compare on any row.
  2. Use Compare … against … at the top to pick any two versions.

The comparison shows, property by property, what's different: Title, Status, Owner, Assignees, Departments, Flow, Tags, Compliance, Risk level and What changed. Below that, SOPHIE tells you how much of the body is different (The body is different — 12 lines). Click show me which lines to see them.

Click Close when you're done.

Reviewing a change that's waiting for approval

While a Standard is Under Review, Versions shows a Review Changes banner. Click Compare with v{n} to see the proposed change next to the last approved version, with Side by Side and single-version views. This is the quickest way for a reviewer to see exactly what they're approving. See Review and Publish.

Restore an earlier version

  1. In Versions, click Restore on the version you want (or Restore v{n} from a comparison).
  2. SOPHIE asks Restore to version {n}? Click Restore.

Restoring never overwrites anything. The content in force now is saved to history first, and the restored content becomes a new version on top. You'll see "Restored to version {n}".

You need permission to edit Standards to restore.

The Activity log

The Activity tab is the Standard's timeline: who created it, edited it, commented, sent it for review, approved, published, returned it to draft or recalled it, and when. SOPHIE's own actions appear too, under her name. Nothing in the log can be edited, so it's a reliable record when you need to show what happened and when.

Good to know

  • Restoring doesn't change the status. It replaces the content. If the Standard is published, saving the restored content follows the usual publishing rule: live straight away if you can publish, otherwise to review.
  • You can't restore the current version, or a version whose content is identical to the current one.
  • A new published version asks for fresh acknowledgements. See Acknowledgements.
  • Following. If you wrote a Standard, or hold one of its owner or assignee roles, you follow it automatically: its comments and status changes appear in your Inbox, and the button at the top reads Following. Click it to stop, and click Follow to start again.
