Viewing a Standard
Opening a standard shows you everything about it in one place: who owns it, who does it and when, the steps themselves, and the conversation and history around it. Most people only need to read a standard and follow it. If you look after standards, this page is also where you start editing, publishing and improving them.
Open a standard from the Standards library, from a task on My Day, from a notification in your Inbox, or from SEARCH at the top of the screen.
Full page or pop-up
A standard opens either as a full page or as a pop-up over whatever you were doing. Set your default in Settings › Preferences: Full Page View is best for reading and editing, Modal View for a quick look while you work. To switch while a standard is open, click the expand/minimize icon in its header (Switch to modal view / Switch to fullscreen view).
The header
Across the top you'll see:
- A reference chip such as
SOP-1A2B3C4D. This is a short code that never changes, handy for telling a teammate exactly which standard you mean. - Department chips. All departments means the standard isn't limited to one.
- The version, for example v3, and the status badge: Draft, Under Review, Approved, Published, Expired, Archived or Rejected.
- The title.
On the right are the actions:
- Improve with SOPHIE opens this standard in Create with SOPHIE, where you can talk through changes with SOPHIE. When you save there, this same standard is updated. No copy is made.
- Edit opens the Edit SOP panel. You'll only see it if your role can edit standards. See Editing a standard.
- Follow / Following controls whether this standard's comments and status changes come to your Inbox. If you're the author, an owner, or assigned to it, you're following it already and can click to stop.
- Share creates a public, view-only link. Only workspace administrators see it. See Sharing.
If your role can edit standards, the status badge also works as a menu (Change status): you can publish a draft or return a published standard to draft from here. See Review and publish.
Banners that ask something of you
When there's something for you to do, a banner appears under the header:
- Acknowledgement Required, Approval Required, Ready to Publish, You Were Mentioned or Overdue Mention appear when you arrive from an Inbox task. Each says what to do and disappears once it's done.
- On standards one person picks up each time, you'll see who's handling it today and a Take it or Claim button. See First to claim.
- You haven't acknowledged this procedure, with an Acknowledge button, appears when you still need to confirm you've read the latest version. See Acknowledgements.
- This procedure is waiting for your review, with an Approve and publish button, appears when you're the person who signs off on a change.
The Properties card
The Properties card sums up how the standard is set up:
| Property | What it tells you |
|---|---|
| Owner | The roles responsible for keeping this standard accurate. Owners are always roles, never one person. |
| Department | Which departments it belongs to, or All departments. |
| Flow | Patient, Admin or Office. If the standard is a step on your Patient Journey, links to those steps appear here too. |
| Spaces | The locations it applies to, or All spaces. |
| Assignees & schedule | One row per group of roles that share a schedule, showing the roles and a summary of when they do it. No assignees scheduled. means it won't reach anyone's My Day. |
| Tags | Labels like #compliance. See Tags and bulk edit. |
| Compliance | The domain (Clinical, Compliance, Operations, HR, Financial or IT), the risk level, and any regulatory sources it answers to. |
To understand how roles and schedules work, see Roles and schedules.
The procedure
Under Procedure is the standard itself: the steps, plus any notes, tables, images, embedded videos (Loom, YouTube, Vimeo, Google Drive) and links to other standards. Click a linked standard to open it.
When a standard has been updated, a What changed in this update? card appears above the steps. It labels the kind of change (Safety Update, Instructions Updated, Clarification Only, Media Updated, Administrative Update or Content Updated) and lists the main changes. That way you know whether you need to reread it.
Files attached to the standard appear under Attachments. Videos play right there, images open in a new tab, and other files are shown as tiles.
Open questions
When SOPHIE drafts a standard, she sometimes needs a fact only your practice knows, such as which drawer something lives in or who to call. She doesn't guess. She marks the spot as a question for you, and those spots are highlighted in the procedure.
A pill next to Procedure counts them, for example 3 unanswered questions · 1/3. Click it to jump to each one in turn. Answer them by editing the standard.
If you publish a draft that still has open questions, SOPHIE shows you the list first: SOPHIE left 3 unanswered questions. Choose Go back and answer to fix them, or Publish anyway. She warns you, but she won't stop you.
Find within a standard
With a standard open, press ⌘F (Ctrl+F on Windows) to search inside it instead of the whole app. Use Enter and Shift+Enter to move between matches, and Esc to close.
The side panel
The panel beside the procedure has five tabs. On a narrow screen the tab names appear when you hover over the icons.
- Comments: discuss the standard, @mention teammates, and reply in threads. See Comments.
- Versions: every saved and published version. Compare any two side by side, or restore an older one. See Versions and history.
- Activity: a timeline of who did what: created, edited, submitted, approved, published, and so on. Changes SOPHIE made on her own are credited to SOPHIE.
- Acks: who has acknowledged the current version and who still needs to. See Acknowledgements.
- Links: the FIX List items that point to this standard, and the to-dos created from it.
The search icon at the top of the panel searches within the tab you're on.
Good to know
- Everyone can read; fewer can change. Edit and the status menu only appear for roles that can edit standards. Share only appears for workspace administrators.
- Delete lives inside Edit. To delete a standard, open Edit and use the trash icon in the panel's header. See Trash.
- Improve with SOPHIE edits the original. It doesn't make a copy, so the standard's history, comments and acknowledgements stay with it.
- Sharing a link with a teammate: copy the address from your browser. Teammates who can sign in
to your workspace can open it. Adding
?tab=comments(orversions, activity, acknowledgements) opens that tab directly. - There's no print or PDF button on this page.
