Sharing a Standard by Link
Sometimes the person who needs a procedure isn't on your SOPHIE team yet: a new hire before their first day, a temporary staff member, a consultant or an inspector. A public link lets anyone with the URL read a Standard, without signing in. You can switch the link off at any time.
What the link shows
Someone opening the link sees a read-only page headed Shared procedure with:
- your practice's name, the Standard's title, its version and when it was last updated
- Owner, Assigned to and Departments
- its Schedule and Compliance sources
- the full content of the procedure
Comments are never shared. Nothing else from your workspace is visible.
Visitors can leave an email address to have the Standard sent to them as a PDF.
Create a link
Sharing is limited to admins (people with Full admin access).
- Open the Standard.
- Click Share at the top of the page.
- Under Public link, click Create public link.
- Click the copy button next to the link, and send it however you like.
Each Standard has one public link. Clicking Share again shows the same link.
Stop sharing
- Open the Standard and click Share.
- Click Revoke link.
The link stops working straight away. Anyone who opens it sees This link is no longer available. Revoking the link doesn't change the Standard itself; it stays published for your team.
See every shared Standard
Admins can see every public link in the practice on the Public SOP links list under Settings › Sharing & access. From there you can:
- search by Standard, person or link, and filter by Active or Revoked and by department
- Preview public page to see exactly what outsiders see
- Revoke link, one at a time or several at once
- Re-enable link on a revoked link. It comes back with the same URL it had before.
- Link history to see who shared, revoked or re-shared it, and when
Revoked links stay on the list for the record.
Good to know
- The link shows the current content. Whatever the Standard says now is what the link shows, including unpublished edits. If you're mid-way through a rewrite you don't want seen, revoke the link until you've finished.
- Links don't expire. A link works until someone revokes it. Review the list now and then and revoke links that are no longer needed.
- Anyone with the URL can open it. Treat it like any document you'd hand to someone outside the practice: share it only with the people who need it, and keep patient information out of Standards you share.
