Workspace Settings
The workspace is your practice as a whole. Its settings page holds the things that belong to the practice rather than to any one location: what it's called, who owns it, and a handful of defaults that apply everywhere.
Open workspace settings
Open Settings at the bottom of the sidebar. Under Workspace, click your practice's name (the first entry). The page is headed Workspace.
The same settings also appear on the General tab of your Profile settings (your picture or initials › Profile › General), laid out as cards. Changing a setting in one place changes it in the other.
Only the practice owner and people with permission to Edit workspace settings can open these pages.
Identity
Rename the practice
Change Workspace name. The name shows in the sidebar, in invitations and on public links to your Standards. It has to be at least 3 characters.
On the General tab, click Edit on the Workspace Information card, change the Workspace Name and click Save Changes. That card also shows your Workspace ID, which the SOPHIE team may ask for if you contact support.
Add or change the avatar
Under Avatar, click Upload and choose an image, such as your practice logo. It appears beside the practice name in the sidebar and the workspace menu. Click Remove to go back to initials.
Transfer ownership
Every practice has one Owner, who has full access to every space, billing and security. Only the owner can hand the practice to somebody else.
- Next to Owner, click Transfer.
- Under Hand the workspace to, choose the person.
- Click Transfer ownership.
The new owner gets full access to everything. You keep the access your roles give you, so make sure your own roles and access level are what you want before you transfer. Only the new owner can transfer the practice again.
Practice-wide defaults
These settings apply to every location.
Draft SOPs in My Day
When this is on, Standards that are still drafts generate My Day tasks, just as published ones do. It's useful while a practice is still writing and reviewing its Standards. When it's off, only published Standards put tasks on people's My Day.
Turning it on doesn't cancel anything: a Standard's role assignments and schedule decide whether it creates tasks, not whether it's published. See When tasks appear on My Day.
On the General tab this is Allow Draft SOPs on the My Day card.
Tasks due on a non-working day
Decides what happens to a task whose due date falls on a day the assigned person isn't working: their usual days off, booked time off, and their space's holidays and closed days.
| Option | What happens |
|---|---|
| Move to the next working day | The task moves later, to their next working day. This is the default, so nobody is penalized for a day they weren't there. |
| Move to the previous working day | The task moves earlier, so it's done before they're away. |
| Leave the date as it is | The task stays on its original date. |
A task marked as a hard deadline always moves earlier, whatever this says.
On the General tab this is the Due Date Adjustment card, with the options Push out, Pull forward and None. Working days, holidays and closed days are set on the Team pages. See Team schedule and Hours and holidays.
Applying a FIX List SOP edit
When someone closes a FIX List item with an "Edit SOP" outcome, SOPHIE drafts the change to the Standard. This setting decides what happens next:
- Apply now: SOPHIE updates the Standard straight away. If the person closing the item can't publish Standards, it goes for review instead.
- Send for review: SOPHIE drafts the edit, and an approver decides whether to publish it.
People can choose differently for an individual item. See Closing a FIX List item.
Comment response times
When someone is @mentioned in a comment on a Standard, they get a window to reply based on the comment's priority. If they haven't replied when it runs out, SOPHIE puts a nudge in their Inbox.
- Turn on Nudge people who haven't replied.
- Under Time to reply, by priority, set the window for Critical (in minutes) and High, Medium and Low (in hours).
- Turn Email the nudge too on if you also want the nudge sent by email. The Inbox nudge is always created. People who have muted that notification for themselves don't get the email.
On the General tab, this is the Comment Response Times card, with Enable SLA enforcement, the four windows, Send email reminders and a Save button.
How SOPHIE writes
SOPHIE's writing settings (whether her AI tools are on, her tone, and your standing instructions) are on the AI tab of your Profile settings. See AI settings.
SOP tags
The General tab includes the Tag Management card, the approved list people choose from when tagging a Standard. The same list is on Settings › SOP tags. See Tags and bulk edit.
Good to know
- What lives where. The bottom of the Workspace page sums it up: the workspace holds the name, owner, billing, the list of spaces, people and access, and security and sharing, set once for everyone. Each space holds its own hours, holidays, team, notifications and integrations, starting from Space defaults. See Space settings and defaults.
- Business hours aren't here. Each location's hours and holidays are set on the Team pages. See Hours and holidays.
